What you will do:

The Auto Club Group is seeking prospective Legal Secretaries who can provide secretarial support to one or more assigned Litigation Attorneys or staff members.

In this position, you will have the opportunity to:
  •  Maintain filing systems and records using case management software.
  • Type and transcribe memos, letters, charts, legal documents and related correspondence for assigned staff.
  • Compose correspondence as required.
  • Answer the telephone and make calls in a professional and confidential manner.
  • Route telephone calls as necessary and takes detailed messages.
  • Schedule and record all appointment dates for attorney meetings such as depositions and court hearings.
  • Maintain appointment calendar and informs attorney of dates.
  • Confirm attendance of involved parties.
  • Review mail to determine and refer to attorney or other client departments.
  • Prepare internal office correspondence, legal opinions, etc.
  • Maintain files required by attorneys.
  • Establish and maintain a series of files for each case or matter along with a corresponding electronic diary system.
  • Advise staff or management regularly regarding items requiring attention or action.
  • Initiate and complete routine forms required by courts, plaintiff's attorney, etc. and submits them on a timely basis.
  • Contact appropriate organizations as directed to obtain medical records or related documents useful to the case.
  • Review other correspondence for key dates and names.
  • Record pertinent information and files.
  • Contact other business clients or attorneys regarding adjournments and court cases, inform clients of court dates, respond to inquiries regarding case information and coordinate case peculiarities with court personnel (scheduling of motions, adjournments, miscellaneous hearings).
  • Closes settled files.
  • Process all invoices from outside counsel and ensures proper and timely payment.
  • Track outside counsel payments via electronic database.
  • Prepare check requests for settlement/court checks.
  • Maintain own records of all transactions.
  • Work with other secretaries and paralegals as part of a team to complete joint projects.
  • Collaborate with legal support staff to design and deliver workflow in a shared services environment with a seamless customer support experience.
  • Design and implement practical processes for the team to identify evaluate and implement process efficiency improvements.
  • Work with other secretaries and paralegals as part of a team to complete joint projects.
  • Assist receptionist clerk/mail clerk as necessary.

    • We’re looking for candidates who:
      • High School Diploma or the equivalent

      Administrative experience in/with:

      • Organization and planning
      • Tracking and entering bill payments from vendors in an electronic database
      • Scheduling appointments, meetings, agendas, itineraries and work priorities
      • Researching and summarizing information utilizing  research software
      • Compiling, reviewing and interpreting requests for information and data
      • Extensive experience utilizing P.C. software applications (e.g. Microsoft Office Suite, VISIO )
      • Legal Secretary and business experience

      Knowledge and Skills:

      Knowledge of:

      • Legal and business terminology
      • Legal/court procedures
      • Medical terminology
      • Business or insurance terms
      • Accurately type 40 wpm**
      • Excellent grammar and spelling skills
      • Telephone etiquette and procedures
      • Format and prepare letters, memos and reports
      • Establish and maintain files
      • Receive and assist visitors
      • Communicate effectively with the public and others in a work environment
      • Maintain a diary system
      • Prepare legal documents for litigation
      • Research and summarize information
      • Compose routine correspondence
      • Organize and prioritize numerous tasks and complete them under time constraints
